How to invoice as an auto repair shop

Record the vehicle: VIN, year/make/model, mileage in
The vehicle ID block at the top: VIN, year/make/model, current mileage, license plate. Insurers, manufacturers (for warranty work), and the customer's service history all need this. An invoice without the VIN is missing the most important identifier.

Start with the diagnostic fee
"Diagnostic — engine code scan & inspection — $120." Most shops charge a flat diagnostic that's credited toward repairs if the customer approves the work. State it as a line so the customer can see the math on the final bill.

List labor by operation, flat-rate or actual hours
"Labor — Brake pad replacement (2.0 hrs flat rate @ $135/hr) — $270." Use flat-rate hours from a labor guide (Mitchell, AllData) for standard operations; use actual hours only for diagnostic work or non-standard repairs. Either way, name the operation specifically.

Mark parts at retail with brand and warranty info
"Parts — Front brake pads, Akebono ceramic — $95." Listing brand sets expectations on quality and warranty length. Aftermarket vs. OEM is a price-difference customers care about; specify which.

Add the shop supplies / disposal fee
"Shop supplies & disposal fee — $18" is standard. Covers rags, cleaning solvents, used-oil disposal. State it as a line; states regulate this fee (some require it as a percentage, some as a fixed cap), and stating it transparently avoids customer disputes.

Set Due on Receipt — collect before vehicle leaves
Auto repair is almost always Due on Receipt — payment due before the customer takes the car. Mechanics liens enforce this in most states. For fleet accounts or insurance work, Net 30 with PO match.

Common auto repair invoicing mistakes

No VIN on the invoice. Warranty claims and insurance reimbursements both need it; missing VIN delays both.
Vague labor description like "engine repair." Use the labor operation name from the labor guide — payers want the specific operation, not the category.
No mileage in. Manufacturer warranty claims and time/mileage warranties both reference mileage at service time.
Forgetting the shop supplies / disposal fee. State regulations often allow it; not including it gives margin away.
Skipping the customer signature line. For higher-dollar repairs, a signed acknowledgment that the work was completed prevents chargebacks.

Flat-rate for standard operations (brake jobs, oil changes, timing belts, alternator replacement) — that's the industry default and what labor guides exist to support. Actual hours for diagnostic work, customizations, and non-standard repairs where there's no published flat rate. Mixing both on one invoice is fine as long as you label each line: "(Flat rate)" or "(Actual hours)." Customers familiar with the industry expect flat-rate; explaining it isn't hard.
